1. What
are the guidelines on accessibility?
Eg., dyslexia
Contact the Equality and Diversity
Team for suggestions and tools to support accessibility.
2. What
are the regulations around misuse, ownership, responsibility?
It is an NHS environment and
is therefore secure. Please see the 365 Policy
created by the Legal Team, and also refer to the AI Policy and information on
NHS Connect

Does the use of AI tools/platforms need to be
referenced when creating Trust documents?
It
is your responsibility to always check and verify content, see guidance about
referencing the content and when this is required in the AI
Policy, Transparency section
4.
Could you explain some of the risks and how we
can ensure we are using CoPilot in a safe way that would comply with IG
policies?
Contact
Information Governance Team and refer to AI Policy on safe and ethical use.
5.
Can you record a meeting through Copilot and
then share with outside organisations?
No – meetings can only be
recorded in Teams.
6.
Are full Co-Pilot licences going to be an
option, if required by teams/services?
No
7.
What are the differences between Co-Pilot lite
(within NHS tenant) and external versions? Are there word limits for document
summaries, for instance, or limits to the number of images that can be
generated?
In
general, Copilot is similar to Chatgpt, Copilot lite is the free version
offered to NHS England/ BCHC. Our trust
is only signed up to the free version at this time.

Is there a BCHC Trust AI policy yet that
includes details of how/when to use copilot?

9.
Can you create and edit posters e.g. with trust
logo?
There
is Branding and Identity information on the Intranet. Posters can be created/edited but ensure it
complies with NHS guidelines and contact Clinical Illustrations or
Communications Team for advice/approval and ensure that online accessibility
regulations are met if intended for the website: Communications Team

10. Can
you use co-pilot to analyse qualitative date?
Yes
11. What
are the limits on personal data use? Are we allowed to input resources with
staff names and details for HR purposes for example?
Personal data or patient
identifiable information should not be added or uploaded into Copilot
Teams
The Digital Skills Training Team support users with Microsoft Office applications (e.g. Word, Excel, PowerPoint, Outlook) and with online Microsoft apps such as Copilot, Teams and Clipchamp.
Online training is available via the NHS Training system,
the IT Skills Pathway, which is free for all staff to use. Please see the the Digital Literacy section.
